Who this notice is from
Calm Space Co. is a small home-organising service based in Berkshire, run by Matthew. In this notice, “we” and “us” means Calm Space Co.
What information we collect
Only what you give us. Typically this includes:
- Your name and preferred contact method.
- Email address, phone number and/or WhatsApp number.
- Postcode or general area (so we can confirm we cover you).
- What you tell us about the room, the situation and your goals.
- Any access, mobility or neurodivergent considerations you choose to share.
- Booking-related information: dates, notes, and follow-up messages.
Why we collect it
- To reply to your enquiry and understand whether we're a good fit.
- To plan the visit so it works for you (pace, sensory needs, access).
- To confirm bookings, invoice for the service and provide the seven-day follow-up.
- To keep short internal notes so a future visit picks up where we left off.
How we handle enquiries
Enquiries are read and replied to by Matthew personally. Messages and their contents are not passed to third parties for marketing, and we do not maintain a mailing list.
How long we keep it
Enquiries that don't lead to a booking are usually deleted within three months. For booked clients, we keep the minimum records needed for the service and for any legal obligations (for example, invoice records) for as long as required, then delete them.
Who it is shared with
Nobody, except where it is genuinely necessary โ for example, our accountant may see invoice records, and we may be required to share information with public authorities where the law says we must. We do not sell, rent or trade personal data.
Photography and consent
Photographs of your home are never part of the booking. If, after a reset, you choose to share images or a short quote publicly, that is a separate conversation and needs your written agreement.
You can withdraw permission at any point. Once withdrawn, we will remove your images from anywhere Calm Space controls within a reasonable time (usually a few days). We will do our best with third-party platforms but cannot guarantee they have not cached older versions.
Your rights
Under UK data protection law you have the right to:
- Ask what information we hold about you.
- Ask us to correct anything that's wrong.
- Ask us to delete your information.
- Object to how we're using it, or ask us to restrict it.
- Complain to the Information Commissioner's Office (ico.org.uk).
Cookies and analytics
This website does not use tracking cookies. There are no third-party analytics or advertising scripts on the pages. If that ever changes, this notice will be updated and a clear cookie notice will be added.
